Need help sending documents to SortSpoke by email?
Last updated: October 27, 2026
Prerequisites
- To set up an email import (Part 1): an Admin user account in SortSpoke.
- To send and sort documents (Parts 2 and 3): your SortSpoke login and your project's import email address.
Part 1: set up an email import (admins)
Each email import gives a project its own email address. Emails sent to it are imported into that project.
Step 1 – Open the admin menu
Click your user menu in the top-right corner.

Step 2 – Click “Admin”

Step 3 – Click “Email Imports”
Step 4 – Click “+ Add email import”

Step 5 – Click “Select a project”

Step 6 – Select the project
Choose the project that should receive the emailed documents.

Step 7 – Select the stream

Step 8 – Check the import strategy
With Batch selected, the email body and its attachments are imported into their own named batch.

Step 9 – Add allowed senders
Click the Type email address & hit ENTER field under Allowed Senders, type an address that may send documents, and press Enter.

Step 10 – Add allowed domains
To allow everyone at a company, type the domain (for example, yourcompany.com) in the Type email domain & hit ENTER field under Allowed Domains and press Enter.

Step 11 – Click “Submit”
SortSpoke generates the import email address. It is listed under Active email addresses. Copy it and share it with the people who will send documents.

Part 2: send documents by email
Step 1 – Forward the email to your import address
In your email client, forward the email you want to send to SortSpoke to your project's import email address. The email body and its attachments are imported into SortSpoke as a batch.
Don't have the address? Contact your SortSpoke administrator.
Part 3: find and sort the batch
Step 1 – Log in to SortSpoke

Step 2 – Select a project

Step 3 – Go to the Sort page

Step 4 – Click the batch dropdown arrow

Step 5 – Click “+ Claim batch”

Step 6 – Select the email's batch
Batches imported by email are named with the date and time the email arrived.

Step 7 – Sort the documents
The batch is ready to sort: the email and each attachment appear as separate documents. To finish sorting and extracting, see How to Import and Sort Documents.

That's all!
